Import the trial balance

The expected file format (4 columns, Excel or CSV), the import and the automatic categorization of accounts.

TeeTax reads your trial balance from an Excel (.xlsx) or CSV file. The file only needs 4 columns, in this order:

  • A. Account number (e.g. 1000, 5100)
  • B. Description (e.g. Cash, Sales)
  • C. Debit
  • D. Credit
  • A header row is optional and no date column is required.
  • One account per row, with its amount in debit OR credit (leave the other empty or 0).
  • Spaces, decimal commas and parentheses for negatives, e.g. (1,234.56), are all accepted.
  • Total debits must equal total credits.

Import the file

  1. 1Open Trial balance in the sidebar, with the right client and fiscal year selected.
  2. 2Click the import button and pick your file (or drag it into the zone).
  3. 3Check the summary: number of accounts, total debits and credits.
Button (1) imports your file; each account then gets its category.

Automatic categorization

Each account is classified automatically (cash, accounts receivable, capital assets, sales, and so on) by the number ranges of the standard chart of accounts (1000 to 9999). That category decides where the account lands in the balance sheet and the income statement.

  1. 1Scan the list for accounts whose suggested category does not fit.
  2. 2Change the category right on the account's row: the change is kept.
  3. 3Group several accounts under one statement line if needed (groupings).
